Overview

Barasingha, a cybersecurity solutions provider, wanted to develop a tool to help enterprises monitor and mitigate data leakage risks on WhatsApp. Designed for IT and compliance teams, the platform allows policy creation, detects high-risk behavior, and enables action on violations—without compromising employee privacy. It offers real-time alerts, trend analysis, and department-level insights to safeguard sensitive communication.

Please Note: Due to NDA restrictions I am only able to share a few screens in this case study. I will be able to share more in interviews or meetings.

My Role

  • Collaborated with founder and PM to understand and gather requirements.
  • Conducted research to identify user needs and validated designs through usability testing.
  • Created wireframes and high fidelity mockups for dev handoff.
  • Collaborated with PM and executive to brainstorm implementation strategy and identify features for MVP.
  • Developed a figma UI library to maintain design consistency in the future and to visually align with existing suite of products.

M.V.P was tested out on a trial basis with a few clients and internal teams.

The Problem

    WhatsApp is widely used across enterprises—especially by employees in sales, support, logistics, and manufacturing—for fast, informal communication with clients, vendors, and colleagues.While convenient, this has led to:

    • Accidental data leakage, such as sharing payment details, invoices, or internal designs.
    • Impersonation scams, where attackers pose as leadership or clients to request sensitive information

    These incidents go unmonitored, placing organizations at risk of financial loss, compliance violations, and reputational damage.

    The Goal

      Design a data leakage protection tool that enables enterprises to:

      • Monitor WhatsApp activity on official numbers while preserving employee privacy.
      • Define and enforce custom compliance policies with automated actions for violations
      • Track and analyze violations in real time to identify risky users, departments, and behavioral trends.

      The Challenges

      Due to WhatsApp’s closed ecosystem, the software cannot block messages before they are sent—it can only monitor and flag after the fact.

      The tool needs to visually align with existing enterprise security platforms while maintaining usability.

      Due to the sensitive nature of security and surveillance tools, recruitment of users for research was constrained..

      The Solution

      Real time Dashboard

      • Quick status check: Shows connected employees, messages monitored, and policy violations at a glance
      • Violation trends: Line graph highlights frequency and severity of violations over time helping IT admins identify trends.
      • Department-level insights and action breakdowns show which teams are at risk and how violations are being handled

      High-risk Violation Dashboard

      This feature helps IT admins quickly focus on violations that pose the greatest risk to the organization

      • Immediate visibility: Highlights total critical violations and escalated cases involving legal or HR
      • Actionable context: Lists detailed information about each violation—policy breached, risk level, employee involved, device groups, time, and action taken.
      • Log Evidence: Allows downloading reports and logging incident history to support audits or disciplinary action

      Policy Configuration

      The step-by-step flow simplifies complex policy setup by guiding admins through one task at a time

      • Multilingual support: Allows keyword entry in English and detection across multiple regional languages
      • Targeted monitoring: Enables selection of specific media types like images or PDFs for precise rule-setting.

      Employee Management

      The tool enables IT admins to add employees along with key details like name, ID, and official WhatsApp number. It also supports assigning employees to groups or departments, making it easier to apply compliance policies based on organizational structure
